OFFICERS AND BOARD OF DIRECTORS MEETING MINUTES

 1 December 2011

 

1.   OPENING REMARKS:  The December 2011 board meeting was held at Grady’s BBQ #4, 6510 San Pedro, San Antonio TX 78216.  Chapter President Bill Fisher opened the meeting at 11:52. 

                                                                                                   

2.   ATTENDANCE:  Quorum was met (at least 25% of the elected board, or six voting members).

3.   SECRETARY’S REPORT (Chet Teel):  The board reviewed the minutes of the 3 Nov 11 meeting, which were approved as written.  An electronic copy of the minutes will be sent to the Webmaster, Rufus Reed, for posting on the chapter web site.


4.   TREASURER’S REPORT (Carolyn Salmans):  Carolyn provided a summary of transactions and current account balances for the month.  The board approved the report as read.

 

5.   COMMITTEE REPORTS:

 

a.   Programs (VP1, VACANT):  Bill Fisher provided an update of upcoming events.

·         10 Dec 11:  Wreaths Across America, 1100, Ft Sam Houston Cemetery (Wesley Salmans)

o   Ceremony at 1100, wreath placement to follow

·         24 Jan 12: Tullos Wells, VP Lone Star Rail, will discuss a proposed high-speed train between San Antonio and Austin.  Board voted to have the event at Pompeii Italian Grill at 11:30. (Bill Fisher)

·         12 Feb 12:  Scholarship Bowling Tourney, AMF Austin Hwy. (Paul Davis)

·         23 Feb 12:  Center for the Intrepid – Tour for NDTA (Bill Fisher)

·         March 2012:  Board voted to skip the March activity since there are two in Feb.

·         April 2012:  TBD.

·         May 2012:  National Transportation Week

o   Date TBD:  Scholarship Dinner

o   19 May:  NDTA 10K/5K Run/Walk  (Adam Pincus)

·         Sep 2012:  NDTA Forum, Anchorage

·         Sep 2013:  NDTA Forum, San Antonio (National will assist starting early 2013)

 

b.   Membership (VP2, VACANT): Rufus reports membership is 140, up from 138 last month.

 

c.   Social (VP3, Debbie Arnold):  Christmas party has been cancelled.  Debbie will book the Pompeii Grill for the January Membership Meeting.

 

d.   Welfare (VP4, Adam Pincus):  Adam had a cold, but didn’t send himself flowers.

 

e.   Scholarship Bowling Tourney (Paul Davis):  Still on track for 12 Feb 12.  Flyers will go out next month.  Start forming your teams!

 

f.    A‑35 (Heather Humphrey):  Wounded Warrior Breakfast was a huge success!

·         15 volunteers served 30 warriors and family members; thanks to Heather for organizing the event!

·         May consider doing a BBQ next year, because 0900 is late for breakfast.

 

g.   Marketing (Adam Pincus):  Adam and Paul will start planning what to purchase for the upcoming Bowling Tournament.

 

h.   Publicity (Darryl Hamilton):  Nothing to Report.

 

i.    Awards (Rufus Reed):  Nothing to Report.

 

j.    Scholarship (Richard Pearson):  Chet is still sorting and scanning the files from previous years.  He will provide it to Richard at the next meeting.

·         Initial notification should go out by the end of January to ensure enough time to submit for National awards.

·         The number of scholarships awarded depends on the number and quality of applications.  There have been years with NO scholarship awards.

·         The board discussed sponsoring a scholarship at a school, but will reconsider this once the scholarship fund is built up more.

 

k.   Nominating Committee (Jon Simms):  Still looking for a 1st VP and 2nd VP to finish out this term.  Committee will start in February soliciting nominees for the next term.

 

l.    Wreaths Across America (Shorty Salmans):  Ceremony is 10 Dec 11 @ 1100.

·         Bob Joyce shared pictures of a special wreath placement at the graves of his father and brothers at North Grove, MA.  Shorty was happy to assist with arranging this.

·         Judy Carlile, the WAA Coordinator for Ft Sam Houston National Cemetery, says she expects over 900 grave-specific placements, up from 500 last year.

·         Really need help from everyone, because it takes a long time to place wreaths.

·         Shorty and Carolyn spent time at the Army Retirement Center, and there is a LOT of interest in WAA.  Next year, we will tap into the many retirement centers for wreath sponsorships.

 

6.   OLD BUSINESS:  

 

a.   By-Law Review (Rufus Reed):  Chet will provide Rufus a Word document to compile all the changes into.  Rufus will provide Chet with a final draft to send out with the January Membership Meeting flyer.

 

b.   Vacant positions:  Still looking for volunteers to fill the 1st VP and 2nd VP positions.

 

c.   5k Walk/Run:  Moving forward on a 19 May 2012 event.

·         Operation Homefront is on board; meeting scheduled 19 Dec 2011 to discuss.

·         Soler’s Sports has committed to support our run, even though they have the Bike to the Bay that same day.

·         Brackenridge is already booked 19 May, so we need to find a backup location.

·         McAllister Park is available, but it gets congested on weekends due to soccer games.

·         Soler’s Sports has several locations which have been already been marked events.

·         Other suggestions: Eisenhauer Park, Rack Space, UTSA.

 

7.   NEW BUSINESS:  None to report.

 

8.   CLOSING REMARKS:

 

a.   The next board meeting is 5 Jan 2012, 11:30-12:30, at Grady’s BBQ #4, 6510 San Pedro, San Antonio TX 78216.

 

b.   Next Membership Event:  Wreaths Across America, 10 Dec, 1100, Ft Sam Houston National Cemetery.

 

c.   Meeting adjourned at 12:32 PM.
